Import Textbook Records

Import textbook titles allow you to import title, copy, and supplement records. See Textbook file format specifications.

If your incoming textbook copies have barcode numbers with a T prefix, make sure you have selected the Set preferred Follett Classic textbook prefix to "T" checkbox on the Circulation tab of Site Configuration.

Import titles compare the first 150 characters of the title, as follows:

If the incoming textbook title… Then the incoming textbook title…
has the same characters before the first 150 characters will be identified as a match.
does not have the same characters before the first 150 characters will not be identified as a match.

To import textbook title records

Important: The file must be in the Follett CSV file format (comma-delimited).

  1. If you are not in the Import Textbooks page, follow the steps in the blue bar with white letters (above).
  2.  In the Title Matching section, select how the import process determines duplicate records and how it handles them once found:
    • Strict To be a Strict match, the incoming record must share an ISBN, have the same title, and be of the same material type (for example, book, eBook, video) as an existing record. The record identifier (for example, main edition, teacher's edition, or kit) must also match.
    • Relaxed To have the import consider records without ISBNs to be a match, select Relaxed. The import then compares only the title, material type, and record identifier.
    • Under If an incoming title matches an existing title, select whether the import is to replace or retain the existing record.
      • If you are updating your existing records, select Replace.
      • If your existing records are better than the ones you're importing, select Skip.
  3. If you are a district textbooks manager, you need to indicate to which school the copies belong.
    Select the school from the The copies in this file belong to list.
  4. In the Copy Matching section, select how the import handles duplicate barcode numbers on the copy records.
    • If your existing copy records are more complete than the ones that you are importing, select Skip the incoming.
    • If you want to replace the information in your existing copies, select Replace the existing.
    • To ignore any barcode number in an incoming record and assign a new one to every incoming copy, select Always add.
      Then, either:
      1. Enter a starting barcode number.
      2. Allow Destiny to find and use the next highest barcode numbers available.
        For every barcode number assigned, Destiny makes an entry in the Job Summary, listing the title, ISBN, and copy barcode number(s).
  5. For a complete list of the titles and copies imported, clear the Limit the Job Summary details checkbox. Otherwise, the summary includes errors and list of the titles and copies that were replaced or skipped.
  6. Select your preferences.
  7. To locate your import file, click Browse.

    Important: The file you are importing must be 500 MB or less.

  8. To begin the import, click Import.
